Message signatures
Create your personal EngageOne message signature, turn it on per channel from the reply box, and see how it looks on each channel.
On this page
A message signature adds your sign-off, such as your name and role, to the end of the replies you send.
Create your signature
Each agent has their own signature.
- Click your avatar at the bottom of the left sidebar.
- Click Profile settings.
- Find Personal message signature.
- Type your signature in the Message Signature box. You can use bold, italics and links.
- Optionally add a small image, such as your company logo, with the image upload button.
- Click Save message signature.
Example:
Priya Shah
Customer Success, Driansh
Note: Paste images through the upload button. Images pasted straight into the box are removed when you save.
Turn the signature on in the reply box
Having a signature saved doesn't add it to your messages by itself. You turn it on in the reply box.
- Open a conversation.
- In the reply box toolbar, click the signature icon (Enable signature).
- Your signature appears at the end of the reply, below a
--line. - Write your message above it and send as usual.
Click the icon again (Disable signature) to stop adding it.
The setting is remembered per channel type, and only for you. For example, you can keep the signature on for email and off for WhatsApp. Turning it on in one email inbox turns it on in all your email inboxes.
If you turn the signature on before saving one, the reply box shows "Message signature is not configured, please configure it in profile settings."
Where the signature is added
- Replies only: it is added to messages you send to customers, never to private notes.
- Editable before sending: the signature is placed in the reply box, so you can change or delete it for a single message.
- Your messages only: automated messages, campaigns and bot replies don't get your signature.
How it looks on each channel
EngageOne adjusts the signature to what each channel supports.
| Channel | What the customer sees |
|---|---|
| The full signature, with formatting, links and image | |
| Website live chat | The full signature, with formatting, links and image |
| API channel | The text of the signature, with bold and italics |
| WhatsApp, Messenger, Instagram, Telegram and others | The text of the signature, with only the formatting that channel supports |
| SMS | Plain text only |
Images in signatures are shown on live chat and email inboxes. On other channels the image is left out.
Tip: Keep signatures short on chat channels. One line with your name is usually enough. Save longer signatures, with a logo and contact details, for email.
